Vendor/Artist Alley Terms and Conditions 


Thank you for being part of the Universal FanCon Experience! We are thankful that you have chosen to join us on this amazing journey as we celebrate diversity and inclusion in our many fandoms! FanCon is going to be a weekend of fun with celebrities, panels, parties, music, and so much more! People are going to know exactly what we mean when we say #FanConSoLit   


We are using ShowClix Vendor Management. This allows us to streamline operations, matching vendors with booths much sooner, and allow us to to provide better customer service to you!


Once vendor and artists booths are gone, that is it, as we already know our exact limit!


Payment is due immediately. There are no longer invoices beings sent. We cannot hold booths. They are sold on a first come, first served basis. 


We reserve the right to approve/disapprove all vendors and artists based on application responses, exclusivity, sponsorship rights, license violations, and material deemed unfit for our events.

Rules and Regulations



  1. All attempts to honor requests for particular table locations will be made, however there is no guarantee and changes may be necessary.

  2. There is one six-foot (6’) table in each artist alley location. Please be considerate and do not encroach upon your neighbor’s space. All backboards must be freestanding and the leg width may not be greater that three feet (3’) when in use. Exhibitors will not nail, screw, pin and/or attach anything to the tables, chairs, drapes, table coverings and/or any portion of the Baltimore Convention Center.

  3. Table reservations may be cancelled thirty (30) days before the show for a full refund. No refund will be issued after thirty (30) days.

  4. Set-up will begin Thursday, April 26th, at 8:00 a.m. Table set-up must be completed prior to the Universal FanCon opening at Friday,April 27th at 9:30 am. Table breakdown will begin @ 6:00 p.m. on Sunday, April 29th. Table teardown will not begin before the end of the show. Any changes or updates to this schedule will be announced with as much lead time as available.

  5. Each exhibitor is responsible for complying with all Maryland Sales Tax Laws concerning licensing and the collection of appropriate sales tax. The MD Comptroller will send you a form prior to the show.

  6. Exhibitors must comply with all copyright and trademark laws as applicable. Anyone caught selling items of an illegal nature, including but not limited to bootleg videos, DVD’s, Blu-Ray, and other media, will be asked to leave Universal FanCon and may be barred from displaying at future events.

  7. Each exhibitor is solely responsible for their own exhibit and the security for their material, goods, samples and other property. By signing and agreeing to exhibit at Universal FanCon the dealer will hold harmless the Sponsor, and the Baltimore Convention Center , or any of their respective officers, agents, employees, representatives or affiliates, from liability, damage, loss, harm, claim or injury to property or person of the Dealers officers, agents, employees or other persons, whether it was caused by the negligence of the Sponsor and/or Host family, or from theft, fire, water, accident, or any other cause whatsoever up to and including Acts of God.

  8. Please understand that this show is for general audiences. All pornographic/adult material must be covered from view according to state and local laws and not accessible to minors.

  9. Rain, shine, sleet or snow will not close Universal FanCon. The event will only be cancelled in the event the Baltimore Convention Center losses power and/or closes.

  10. Table prices will not be refunded or reduced if the artists, writers and/or guest list changes. The artists, writers and guests featured at Universal FanCon are not guaranteed.


FAQs


What CAN'T I sell as a vendor or artist?


Unless written approval is given by Universal FanCon, vendors may not sell:



  • Weapons (including swords)

  • Food 

  • Beverage/Alcohol (including samples)

  • Vaping tools and accessories

  • Vacation/Time Share giveaways

  • Multi-Level Marketing (MLM) products


What does an artist table include?



  • 2 Artist Badges (extra badges may be purchased for $30)

  • 6 FT table

  • 8 FT tall pipe & drape backdrop

  • Table cloth

  • 2 chairs 


What does a vendor booth include?



  • 4 Vendor Badges (extra badges may be purchased for $30)

  • 10 by 10 space & a 6 FT table

  • 8 FT tall pipe & drape backdrop with 3 FT siding

  • table cloth

  • 2 chairs


Are wifi & electric included?


Wifi and electric are not included. You will receive an email about availability wifi, electric, or any extras no later than 2 weeks prior to the event.
